Preparing Your Business for a Microsoft 365 Migration

Prepare for a Microsoft 365 move by reviewing accounts, shared mailboxes, files, permissions, devices, and responsibilities before the transition.

Inventory what the business uses

A Microsoft 365 migration should begin with an inventory of email accounts, shared addresses, calendars, contacts, files, and devices. Record which services currently host them and who has legitimate administrative access.

Identify business applications that send email, shared workstations, and any workflows tied to the existing provider. Moving a mailbox does not automatically move every connected process.

Define scope before choosing a migration method

Ask what will be transferred, what will remain in the old service, and what employees need to archive or review. The appropriate migration approach depends on the source system, organization size, and data involved.

Discuss licensing, user identities, shared resources, and security settings before the move. Separate email migration from file migration in the scope so that responsibilities and expectations are clear.

Agree on the changeover and recovery plan

Document who can update domain settings, when changes are planned, and how staff will be notified. Establish a support contact for the transition and clarify how the team will handle unexpected delays or missing information.

Review backup and data-preservation needs before changing the source environment. Keep necessary access to the original service until the agreed verification and retention decisions are complete.

Prepare staff and devices

Give users clear instructions for signing in, enrolling approved authentication methods, and reconnecting their devices. Identify who needs help with shared calendars, shared mailboxes, or application settings.

Avoid distributing shared administrative credentials as a shortcut. Give the migration team appropriate access through an agreed process and remove temporary access when the project is complete.

Verify real business workflows

After the move, verify mail flow, calendar access, shared resources, files included in scope, and key applications. Have staff confirm they can perform their normal work rather than treating successful sign-in as the whole acceptance test.
